Construction oversight for clients and consultants

Know what really happened on site — and prove it.

Catch defects before they are covered up, never miss a contract deadline, and settle claims with evidence instead of argument. Siteplume gives the client and the consultant one signed, time-stamped record of every inspection, approval, instruction and payment.

14 days, every feature, no card. The trial starts when you confirm your email.

Why it matters

When the dispute comes, the side with the record wins.

Most construction software is made for the contractor and sold to the owner afterwards. Siteplume starts from the client and the client's consultant: the people who have to say what was built, and prove it later.

01

Know who said what, and when

Every submission, comment and decision carries a name, a role under the contract and a time. When someone asks who approved it, you can answer in seconds.

02

No one marks their own work

Whoever raises an item cannot approve it, and a rejection needs a reason. Approvals mean something because they cannot be self-awarded.

03

A record nobody can quietly rewrite

History can only be added to. A decided inspection is frozen, a signed document is fingerprinted, and a project under legal hold cannot lose a line.

What you get

Fewer surprises on site. Fewer arguments afterwards.

Each register has its own workflow, and they all point at each other: the failed check that became an NCR, the instruction a notice answers, the delay behind a claim.

Catch defects before they are covered up

Inspections are checked against your own test plans, on site, before the pour. A failed check becomes a non-conformance report in one step, linked both ways.

Approve materials without chasing reviewers

Each submittal goes to named reviewers by discipline. You see who is holding it, the decision waits until every review is in, and each reviewer's code stays on the record.

Find any letter in seconds, not in inboxes

Letters, instructions and notices are numbered once per project and threaded by reference. Sensitive ones stay with the client side or the parties you name.

Never miss a contractual deadline

Notices, detailed claims, determinations and responses are counted from the FIDIC clause that sets them. Whoever owes the next move is warned before the date passes.

Certify only what was actually built

Payment certificates are assessed line by line against the bill of quantities, and delay and variation claims sit next to the site records that support or contradict them.

Get it signed the same day

Send a letter or a payment certificate to named signers and they sign from wherever they are. The signed copy carries a certificate anyone can check.

Take over the building with nothing missing

Manuals, as-builts, warranties and certificates are accepted item by item before taking over, and defects found afterwards are tracked to the end of the liability period.

Answer any question about the job in one search

One search covers every register. Each record keeps its own discussion, and each photo keeps the time and place it was taken.

Build from the right drawing, every time

Every document has its revisions and its ISO 19650 status, so the site knows which one is approved for construction. Transmittals show who was sent what.

Keep the record intact when a dispute starts

A legal hold stops anything being deleted, whoever asks. The whole record exports as an archive you can hand to your lawyers, with a checksum for every file.

A look inside

The record, the drawing and the phone

Every record keeps its clock, its history and its evidence. Pins put it on the drawing; the field app takes it to site, with or without signal.

A non-conformance with its clock Who raised it, when the response is due under the contract, and every step since, signed and time-stamped.

How it works

From a request on site to a record that holds up.

  1. 1

    The contractor raises it

An inspection request, a submittal, an RFI or a claim, from the office or from the field app, with photos and the drawing it refers to.

  2. 2

    The consultant checks it

Against the test plan, the specification and the contract. Reviewers are named, the clock runs, and overdue items rise to the top.

  3. 3

    The decision is recorded

Approved, approved with comments, rejected with a reason. The author, their role and the time are part of the entry.

  4. 4

    The record holds

Sign it, export it with checksums, hand it to the client, or put it on hold when a dispute starts. It reads the same years later.

Contract deadlines

Know every contractual date before it passes.

A late notice can cost a claim, and a late answer can concede one. Choose the form of contract and Siteplume counts each period from the event that starts it, warns whoever owes the next move, and cites the sub-clause in the letter.

Bespoke forms take the project's own periods. Any period can be overridden for the particular conditions.

On site

The record starts on site, not back at the office.

With Siteplume Field the inspector records the check, the photo and the defect where they stand, so nothing is written up from memory that evening.

  • Keeps working without a signal and sends when it is back
  • Photos carry their capture time and location
  • Draw on a photo; the original is never changed
  • Push notifications for the items waiting on you

Questions

Before you ask.

Who is Siteplume for?

The client and the client's consultant on a construction project: the resident engineer, inspectors, quantity surveyors and the project director. The contractor takes part in the same record, raising requests and answering them.

Does the contractor need a licence?

The contractor's people are invited to the project like everyone else and see what their role allows. Talk to us about how your project should be set up.

Which forms of contract are supported?

FIDIC Red Book 1999 and 2017, NEC3 and NEC4 ECC with their main and secondary options, and JCT SBC, Design and Build and Intermediate 2016 have clause libraries with their periods built in, including the NEC eight-week bar, the project manager's reply and quotation clocks, and the JCT twelve-week decision. Any other form runs as a bespoke contract with the periods you set.

Is it available in Arabic?

Yes. The interface runs right to left in Arabic, and printed letters and reports carry bilingual labels.

Can we take our data out?

At any time. The export holds every register, the audit trail, the documents and the photos, with a checksum for each file.

How do we start?

Start a free trial: create your account and organisation, confirm your email, and set up your first project with its contract form, parties and locations. Then invite your team. We can also walk you through it.

What happens when the trial ends?

Nothing is charged and nothing is deleted. The projects become read-only, and the record can still be exported, until the organisation subscribes.
